Process connectivity when exporting to Excel

This article provides details on how to achieve your process connectivity order when you export your process map to Excel.

With version 10.1.11, you can export your process map, but the order of shapes in the Shape Master column is in alphabetical order. This is not always the most useful depiction of a process and many people want to see their process in process order, i.e. how it looks in Visio.

From 11.1 you have the ability to reorder the order of the shapes in the Shape Master column of your Excel spreadsheet. Now when you export to Excel you have additional numbers in your Reference column; this allows your shapes to be listed in process order.
When you first export a process to Excel, you will receive a spreadsheet looking very similar to the one below.
To sort the Shape Master column in to process connectivity order, perform the following steps:
For Excel 2003, 2007, 2010:
  1. Select the Reference column (B) - you may want to expand this column first.
  2. Select the Sort and Filter option (this is towards the far right-hand side of the screen if you are on the Home tab, or is an option if you select the Data tab).
  3. Select the descending arrow Sort option - this will display the values in your Reference column from lowest to highest giving you the process connectivity order.
  4. From the pop-up box which appears, leave the Expand Selection option selected and click Sort.
  5. Now your Shape Master column (A) should be listing the shapes in the process order they appear in the Visio version of your map.
